Most email providers such as gmail, outlook and most corportate systems have strict security in place for routing emails. Particularly these systems attempt to ensure that an email is actually coming from the organisation that is of the sender. The policies of the mail providers have different rules as to if email is blocked or develived to junk mail folders if the policies are not met.
For this reason, most services such as Manu Online will address outbound email with a generic address such as "donotreply@" or "reports@" and this is the standard way of working in Manu Online.
However it would be much better if emails could appear to be from yourself even if Manu Online is sending them. Then your suppliers and customers could reply directly to you.
The solution for this is to have your own email domain verified as as a valid account in Manu Online mail servers, which are provided by Intuit/MailChimp. To do this, follow the instructions below. Important: after doing this check that your emails really are operating correctly!
Setting up outbound email in your own domain:
- Set up the relevant DNS entries in your own DNS servers (Manu Online can not do this for you).
The records should be:
CNAME - mte1._domainkey.yourdomain.com pointing to dkim1.mandrillapp.com
CNAME - mte2._domainkey.yourdomain.com pointing to dkim2.mandrillapp.com
TEXT - _dmarc.yourdomain.com with value of at least v=DMARC1; p=none; (You might have this one already)
TEXT - mandrill_verify.unique_key where the unique_key is shown on the popup. - Wait while these replicate across the internet, normally in a few minutes but can be up to two days. Press Verify to recheck the status of the records. If necessary, cancel the popup and come back later and check that all the new DNS records can be seen, there will be a green checkbox next to them.
- When all records are green then press Save to take this feature into use.
- Send a test email, for instance an invoice, to a private email address to check that all is working correctly.
