Through out the system there are many drop down lists, where a user can choose a value but not edit it. This is important for data cleanliness and compliance throughout the organisation. Most of these can be set to be translatable into the user customer or users langauge. The values can also be limited depending on a user's rights in the Multi Company Edition, either to one company or to one Business Unit.
For instance: Payment terms, which are used on sales orders, purchase orders, sales invoices and purchase invoices and have defaults set on the partner card. This is from the partner card. The available values are set by the administrator, and then the user can select one.
The values in these list are set Admin - System Settings on the System Settings tab. These are printed on order confirmations and invoices etc. and so it is good if they can be printed in the customer's own language.
Some of these system settings have associated details. For instance payment terms specify the number of payment days. Note that the additional properties are not translated, and this applies particularly text blocks where a different record needs to be made for each language that is in use, and associate this with the particular partner on the partner card.
To add a new value, on the top of the grid, think of a useful "system name" for the new entry, which can be the same as the English name. Click the new record to open the form to fill in the details.
If a value is to be removed from use then, check the "Archived" box. It will not be available in the drop down list anymore. However the value will still be present on any existing orders or invoices.
If your account is Multi Company or has Multiple Business Units licensed, then it is also possible to associate certain values to either a company or a business unit. These fields will only be shown if these license are present on your account.
Optionally, set translations for the value. If the value is used on a foreign language document and the translation is not present, then the English value will be used.
